Automated Data Collection
Automatic monitoring and collection of data from standard sources.
Often we find files being automatically put in directoies by some legacy system or appearing in email. Usually its someones job to open these files and copy/paste or even rekey the information into the next system.
We have even had clients who found it nessacry to print out all 50 pages monthly and manually review each row against their system and make the manual updates as required.
We can automatically pick these files up from a folder or email, validate and submit them to your database. The only human intervention is where there is an unusual case the automated system doesn't know how to deal with. Our techniques allow the user to focus on these handful of problem cases by highlighting them to the user and taking the users instruction.

An easy example is validating address details. A client sent out around 25,000 letters a month, implementing an address validation tool allowed them to save $1000s of dollars just in returned mail costs and reprinting costs.
Another Client had a system for tracking cases, their money comes from closing these cases, we developed a simple set of checks to catch cases that were "falling through the cracks" and found over 20,000 cases that had not been closed (and should have been) in the last 3 years. They now refer to this check weekly and include it as part of staff KPI validation

A very effective technique for improving the effeciency and reducing error rates is to provide specific validation and rapid "builder" screens to ensure quick, accurate and high volume entry of data.
One client had a single screen for entering many different types of bookings, each type of booking had its own unique rules and complexities. By providing 4 specific screens targeted at each of the specific types of bookings we were able to reduce the entry time per booking down by 70% and reduce the error rate to what we would term a "safe background level"
